Job Description

Job Summary:

AFGA seeks for qualified medical warehouse officer, under direct supervision of program manager, the RH medical warehouse officer will be responsible for overall management of one medical warehouse through which all UNFPA funded FHHs supplies are stored and provided. The RH medical warehouse officers will be responsible for managing FHHs supplies management included but not limited to collecting all the shipments from donor warehouse, storage of supplies in the warehouse space according to standards procedures, regular update of the stock records in soft and hard tools, receiving the distribution plans and checking with eLMIS system for correct information, preparing the supplies as per approved distribution plan, coordinating all the distribution of FHH supplies with donor and relevant NGOs, updating the eLMIS data as per distributed items and providing regular reporting on stock movement as per need.

Specific Responsibilities:

    •  Implement and/or maintain standard inventory management policies and procedures.
    • Receiving and verifying the accuracy of incoming and outgoing shipments that include medicine, pharmaceutical, and family planning commodities.
    • Sorting, placing, and putting away the goods in the appropriate place in the warehouse according to each program and project.
    • Prepare appropriate documentation for shipment of goods moving from one location to another and update warehouse documents and records.
    • Oversee truck loading operations to ensure all policies and procedures are followed accordingly.
    • Maintains accurate inventory records through the use of a computerized inventory system.
    • Manage and document the receipt, handling, storage, release, and reporting of medical supplies through routine tools in hard and soft.
    • Manage casual laborers in the warehouse while handling goods or relocating.
    • Ensure the maintenance of warehouse building(s), fittings, and equipment regularly.
    • Implement and ensure clear safety procedures.
    • Implement and ensure clear loading/unloading procedures, correct stacking, and turnover (FIFO) and (FEFO) procedures.
    • Be able to make and handle the delivery of national and international shipments.
    • Maintain the Warehouse activity book recording all outgoing and incoming receipts and activities.
    • Liaise with supply chain staff for the receipt of Goods, Supplies, and equipment through proper documentation such as receipt of approved PR, Purchase Order, Invoice, and delivery report.
  • Record all the items received in stock cards and database before issuing them to the requesting unit and coordinate well with the Pharmacy/Logistics Officer.
  • Monitor the security of AFGA storage and supplies.
  • Receive completed store request forms and prepare the goods for issuance through store release orders. 
  • Receipt, count, place, and record all medicine, pharmaceuticals, and other items at the time of receipt and deliveries.
  • every month, work with the Logistics and Pharmacy/Logistics Officer to reconcile the Warehouse register (Database) with stock cards, issue forms and supplies receipts, and release
  • Update the stock record cards regularly.
  • Conduct routine inventory inspection and submit a report to the Pharmacy/Logistics Officer promptly.

 

 

 

 

Job Requirements

    • Graduated from a well-known Pharmacy faculty with available documents of graduation.
  • Having at least five years of proven experience with national and international NGOs in the field of pharmacy and medical warehouse management.
  • Good knowledge and skills in medical supplies and warehouse management.
  • Fluent Pashto and Dari speaker and good in English speaking.
  • Ability to prepare supplies-related documents in English (plans and reports).
  • Having previous experience with FHH projects focusing on RMNCAH services.
  • Skill and ability in using logistic and supplies management systems the like of eLMIS and report extraction.
  • Good communication skills in the area of coordinating large skilled medical supplies.
  • Ability to use eLMIS and other online/ offline applications for data entry and reporting.
  • Having a background working in medical supplies management during a humanitarian setting is a plus point.
