Job Description

  1. Summary of Key Functions
  • Technical monitoring of the project timely transmission of reports to the management and donor.
  • Facilitation of knowledge building and knowledge sharing
  • Ensuring that all intermediary reports are properly kept and archived, for filing and audit purposes
  • Identifying the best practices and lessons learned to help implement a reporting and documentation strategy.
  • Give necessary feedback to the management and to the field team for better implementation of the project.
  1. Key relations            

Internal:  DCD-P, PQ Coordinator, MEL Manager, Program Coordinator, Project Manager, the project staff and other support staff, DPMs, Project supervisors, M&R office and CARE AFG other projects.

External: Actors such government sectoral departments such as MOPH, MOEC, MRRD, MAIL and other ABADEI Implementing partner organizations.

  1. Report writing 60%
  • Take the lead in writing the required Project Reports, capturing in a comprehensive analytical manner project progress against Results Framework; including the documentation of success stories, achievements, lessons learned, risks and issues;
  • Produce quality reports for target groups and in a timely manner, according to the reporting timeline.
  • Serve as a focal point for reports to donor and other stakeholders.
  • Support and advise provincial team in terms of reports in accordance with donor recommendations and reporting requirements.
  • Produce regular and mandatory reports (monthly, quarterly, interim, annual and final reports) on the project’s results and activities
  • Ensures that the reports are systemized meet donor requirements and are consistent with the results framework.
  • Work closely with the Monitoring and Evaluation team to incorporate M&E data in the reports including project’s progress towards its Strategic objective/outcome indicators.
  • Work closely with the Finance Department to ensure all financial reports are prepared in line with contracts and are submitted along with the narrative reports.
  • Actively participate in the development of project management-related documents and concise reports and power-point presentations for various project meetings and workshops;
  • Take the lead to develop plans and monitoring the project’s Risks and Issues matrix
  • Take the lead in developing project Updates to donors and stakeholders in a timely manner, using the most professional writing and formatting requirements;
      1. Documentation 40%
  • Draft selected documents and reports, such as weekly, monthly and quarterly reports, drawing on inputs from Project staff. Finalize documents after receiving input from team leaders, PM, DPMs and others as appropriate.
  • Review, edit, and format documents produced by the program including, but not limited to regular progress reports, technical reports, training modules, briefing notes and PowerPoint presentations, success stories, press and releases, or; arrange and manage additional editing and formatting services provided by staff or vendors as required and authorized.
  • Provide quality control over writing, editing, formatting, graphic content, and translation for formal documents produced by the program.
  • Assist, enable and train staff to produce accurate, clear and concise written products, to produce material that complies with CARE and UNDP standards.

Enthusiasm to the job, excellent disintegrate analytical skills, project management skill, monitoring, feedback staff, willingness to work in rough field conditions and tough security situation; willingness to travel as per the project requirements in every situation, a self-starter and well experience managing, professional communicator.

Skills and Experience:

  1. Knowledge and Skills: Good command of English, narrative and analytical report writing skills, ability to do data analysis and draw inferences, good presentation and communication skills, MS Office – computer skills, general management knowledge, filing and documentation skills.
  2. Traits: Build personal and inter project relationship, analyse issues, cultural sensitivity, gender sensitivity, teamwork, punctuality, establish a conductive working environment and persuade others

Education: 

Master degree in management science, business administration, monitoring and evaluation, development studies or other related fields.

Work Experience:  

Minimum of 5 to 7 years work experience in project management, monitoring, reporting, documentation, knowledge management

Languages Skills:

       Excellent written and oral communication in English, Dari and Pashto
