About AWEC

AWEC is a non-political, non-profit, woman-headed national organization established in 1991 by a group of educated Afghan women in exile, who rallied together to address the lack of facilities for Afghan refugees in Islamabad and eventually Peshawar, in Pakistan. AWEC has always been involved in advocacy and awareness-raising for women and children’s rights while providing services to those who frequently fall through safety nets. In recent years, one of AWEC’s core activities has been to support women through mobilizing Afghans, from local communities to political elites, towards the goal of reducing and eventually eliminating violence against women.

Job Description

Grant Officer

A grants program is the integral method for accomplishing the objectives and outcomes of AWEC program objectives. Grant mechanisms will be utilized to stimulate the capacity and effectiveness of SMEs to provide resources for innovative local activities that will reduce instability, promote economic security, and provide appropriate commodities/equipment to vital institutions and community-identified objectives.


The Grants Officer position serves two main functions:
 

Grant Management

  • Under the direct supervision of the Grants Manager, the GO will be involved in collecting and sorting the information for grantees’ progress reports.
  • The role of the GO will be limited to matching the project supporting deliverables for validation check of grant activities reported in the grantee progress report and maintaining and updating grant report tracking sheets.
  • Provide support to the Grant Manager in developing detailed project activity sheets by providing a list of planned activities per project work plans and proposal and liaising with grantee organizations to identify the planned time frame.
  • Work closely with the Grant Manager in drafting sub-granting agreements, contacting grantee organizations to submit monthly activity highlights, impact reports, quarterly progress reports, and success stories.
  • Responsible for liaising with the finance department to review quarterly financial reports.
  •  Support collecting and sorting the information for grant applications, proposal screenings, and training sessions.
  • The role of the GO will be limited to collecting and registering application requests and assisting in the preparation of grant training andfacilitation session.
  • Maintain grant project documentation in hard copy and electronic format
  • Participate in grant projects field visits as required
  • Any other duties as assigned by the supervisor

Finance Managment

  • Ensure all financial documents are correct, proper back-up documentation is maintained.
  • Doing the filing system (Labeling /tagging all the files in chronological order) for the finance department.
  • Entering grants financial transactions into QuickBooks, and maintaining proper grants financial documents.
  • Maintain and replenish petty cash on regular basis and make sure proper back-up documentation is provided on time of clearance with procurement staff in the absence of cashier.
  • Maintaining fund tracker on monthly basis and follow up of fund receipt and invoices with donors and informing finance manager on any dues from donors.
  • Copy relevant documents of finance department and put into related file and / send to donor.
  • Preparing the financial reports based on AWEC checklists.
  • Tracking the expenses and monitoring the budget with finance manager.
  • Provide necessary support during internal and external audit exercise.

To maintain clean vouchers in Archive and to make sure no voucher is missing

 

Job Requirements

Education:

  • Bachelor Business Administration, Finance or Project Management MBA is preferred.

 Work Experience:

  • Minimum 3 yearsof experience working with small grants, preferably with international donor-funded projects, UN agencies, or NGOs on relevant programs in Afghanistan.
  • Previous knowledge and experience with compliance requirements.
  • Must be flexible, willing to perform assigned and additional duties, and preferred database experience.

Skills

  • Experience in grant and contract administration and management.
  • Computer literate.
  • Able to write concise but detailed activity report in English.
  • Excellent written and spoken communication skills.
  • Ability to work independently, think creatively, and apply problem-solving skills
  • Technical supervision and multi-tasker.
  • Knowledge of the assigned program district.
  • Excellent interpersonal skills and an ability to manage a diverse range of professional relationships.
  • Ability to manage databases and files and prepare meaningful reports.

LANGUAGES:

Preferred fluency in written and spoken English and native Dari and Pashtu.
