Job Description

  • Preparing necessary templates for the procurement department.
  • Tracking and monitoring the progress and status of all contracts including all Purchase Orders issued.
  • Prepare records and minutes of bid opening sessions.
  • Responsible for the Tendering Process including writing the request for proposal, request for quotation, bid documents, and contract preparation.
  • Filing contractual documents, correspondence, meeting minutes, reports, and other appropriate and applicable documents and corresponding logs.
  • Resolving contradictions and discrepancies before the award of the contract.
  • Reviewing procurement requests and recommending necessary action to the Manager
  • Preparing modifications for Contracts.
  • Ensuring all health and safety practices are followed.  Maintaining a safe work environment for yourself and your colleagues. Identifying and informing the HSE department of any hazards in the workplace.    
  • Surveying / collecting quotations & analyzing prices for a final recommendation to the Procurement Contracting Officer and Head of the Logistics Unit.
  • Assist in the audit of documentation and contract terms required for trade transactions.
  • Assist in building relationships with organizational networks and external vendors for procurement.
  • Assist in ongoing review of records and information to determine if work processes and procedures are effective.
  • Support procurement activities based on product specifications and customer needs.
  • Support work improvement activities and performance improvement strategies.
  • Track statuses of purchase orders based on organizational procedures.
  • Assist Procurement Manager in overall procurement activities
  • Completing any other duties or tasks assigned by the General Manager.
 

Job Requirements

  • Academic Qualifications: graduates in Business Administration, economics or any other relevant field. Excellent knowledge of computer skills is essential, Fluent English writing, reading, and speaking is also an important requirement.
  • Enjoying 3 to 5 years of relevant working experience.
  • Best oral and written communication skills in local languages and English.
  • Having full knowledge of cultural and religious sensitivities and values
  • Compliance and adherence to all the organizational rules and regulations including anti-harassment policy.
  • Be morally and disciplinary fit for the job.
  • Be able to work under pressure.
  • Strong organizational, coordination, problem-solving, and negotiation skills.
    Excellent English communication skills both verbally and in writing.
  • Ability to work as part of a team.
  • Excellent organization skills are needed for managing workload and meeting deadlines.
  • Ability to win initiative.
  • Ability to produce accurate work.
  • Knowledge of computer applications including Microsoft Office and Internet applications.

Job Purpose:

  • The Procurement Assistant is also known as the Sourcing Assistant or the Sourcing Coordinator. He is responsible for raising purchase orders and maintaining procurement records. He also assists in contractor selections by gathering procurement specifications and tender bids received from suppliers.
  • Monitoring stock levels and identifying purchasing needs.
  • Researching potential vendors and conducting market research.
  • Tracking orders and updating internal databases with order details.
  • Evaluating vendor offers and negotiating prices.
  • Maintaining accurate records of invoices and contracts.
