Job Description

  • Overall management of Operation section.
  • Drafting of official letters.
  • Issues memo on Administrative, and HR Procedures as required.
  • Provide effective and efficient supervise to Administrative staff.
  • Control and updating inventory list. (Medicines, books, vehicles, and etc.);
  • Staff payroll / timesheets and track of staff leave balance.
  • Daily supervision of Admin / Logistic and Finance staff.
  • Monitor staff attendance sheet on daily and weekly basis.
  • Ensure that profiles and job descriptions for logistic department are well defined and implemented
  • Participate in the interview process of newly appointed candidates.
  • Prepare weekly, quarterly, and monthly operational activity report.
  • Perform on the job training of sub ordinates so that, one or two of them can act as replacement in his/her absence.
  • Identify and report immediately any problem which interferes in the delivery of services or in achieving the program objectives to his/her immediate supervisor.
  • Participate in monthly management meeting of the program to share information and discuss the program progress.
  • Planning, directing, distributing and supervising the work of the logistics department;
  • Managing AADA procurement through proper procurement committee according to the finance and logistics rules and regulations;
  • Briefing suppliers of different goods and proper shifting and hand dispatching;
  • Procuring all the demanded goods of AADA with the help of related technical expert who is responsible for quality control;
  • Delivering the procured goods to the warehouse, obtain receipts from the storekeeper;
  • Check the updated expenses record of his office vehicles and follow up the mileage of vehicles for oil and filter change;
  • Monthly checking, editing and consolidating the overall AADA accounts.
  • Compliance of organizational financial procedures and completeness of documents.
  • Frequent travel to the field offices to support, monitor, and guide the admin, logistics, and finance officers.
  • Assist in developing organizational strategies and policies for AADA.

        Perform any other tasks assigned by AADA management

Job Requirements

  • A bachelor's degree in Economy operations management, Political science, Human rights, project management, strategic management, business management, or similar (master degree is preferable).
  • At least 7 Years work experience in internal audit or related field in International and National NGOs.
  • In-depth knowledge of project management and strategic planning.
  • Exceptional leadership and communication skills.
  • Good spoken and written English as well as knowledge of the main local languages of Afghanistan.
  • Ability to work under pressure while producing results
  • Treats all people fairly without favoritism; Fulfills all obligations to gender sensitivity and zero tolerance for sexual harassment
  • Good interpersonal skills, diligence, open mindedness, and dedication.
