Job Description

KEY AREAS OF ACCOUNTABILITY:

Coordination with H&N programmes and supply chain
•    Work closely with the Pharmacy team at province level in the Health and Nutrition team.
•    Support the Health and Nutrition Leads and/or Coordinators to ensure no stock out and seamless stock distribution to the MHTs.
•    Ensure coordination with the Supply Chain team at Kabul level.
•    Support programme teams with stock movements between projects, with strong TiM management.

Maintaining a clean and well-organised warehouse:
•    Ensure that the warehouse is clean, secure (with security features) and well-organised.
•    Store on the basis of FIFO and FEFO (first expiry first out).
•    If necessary, lead on the coordination with Admin to ensure pest control. 
•    Ensure that the warehouse is locked and has resources in place to prevent theft, flooding and/or fire. 
•    Ensure that storage space is utilised to the best way possible.
•    Ensure that there is enough space available for receiving and checking orders.
•    (If applicable) Ensure that pharmaceuticals are stored at the current height and temperatures according to mandatory standard operating procedures. 

Receiving and dispatching goods:
•    Ensure that procedures are strictly followed and that all necessary forms are used, filled and filed correctly during receipt, storage and dispatch of the supplies.
•    Ensure in cooperation with logistics department that temperatures, humidity & light exposure are in accordance with drugs in pharmacy using standard tools, like daily control of temperature.
•    Ensure that cold chain and air conditions are functioning properly.
•    Check quality and state of orders received checking package status, packing lists, expiry dates and batch numbers.
•    Ensure proper disposal of expired medicines according to SCI safety standards and waste management protocols in collaboration with pharmacy supervisor & logistics department.
•    Ensure that no material is taken out of pharmacy without prior authorization from Health and Nutrition Coordinator.
•    Inform line manager of possible ruptures of stock or drugs that are close to expiring.
•    Update bin card and stock cards when goods are received or dispatched.
•    Ensure the GRN and SRF are recorded correctly in the TIM system when goods are released.
•    Bear responsibility for the unloading of inbound and outbound deliveries.
•    Conduct stock checks and stock reconciliations on a regular basis.
•    Be aware of any document regarding detailed responsibilities of pharmacists at field level (ex Rational use of medicine and to provide consumption information).
Reporting:
•    Verify and submit accurate and high-quality stock reports. 
•    Ensure that the TIM system is up to date with correct information through daily inputs.
•    Close follow up with Country office medical warehouse officer for near to expire SOFs.

Miscellaneous: 
•    Abide by policies that prohibit fraud, nepotism, corruption and/or bribery. 
•    Maintain a strong awareness of Child Safeguarding policies.
•    Operate with the highest standards of professionalism, and in a manner that is gender-sensitive and in compliance with Anti-Harrassment and PSEA policies. 
•    Be willing to support and/or participate in humanitarian responses where required.
•    Be willing to support and/or participate in trainings and other capacity strengthening initiatives for partners where required.

Job Requirements

QUALIFICATIONS  
•    2+ years medical warehousing experience and Pharmacy/high school certificate 
EXPERIENCE AND SKILLS
Essential

•    2+ years of  medical warehousing and/or supply chain experience
•    Good communication and interpersonal skills
•    Ability to work under pressure
•    Ability to work as a team player
•    Fluent in English, Pashto and Dari
•    Good self-starter with effective time management skills 
•    Willingness to change working days and hours where there is need
•    Experience of logistics, procurement and supply chain management
•    Strong skills in coordinating and collaborating with others in partnership 
•    Positive, solution-driven, respectful and with a ‘can-do’ attitude
•    IT skills (e.g. Word, Excel, Powerpoint)

Desireable
•    Fluency in English
•    Experience working in health emergencies across multiple areas of Afghanistan 
•    Previous experience in NNGOs/INGOs, UN etc.
