Job Description

Manage the vehicle fleet & Maintenance

 

Mission 1: Ensure the proper functioning of the base's vehicle fleet

  • Supervise the maintenance of the base's vehicle fleet (quotation and follow-up, PL, appointments, control maintenance work /Delivery Note, payments follow up);
  • Check that vehicles are adequately equipped for their use;
  • Draw up fuel consumption reports for coordination vehicles and monitor those of the operational bases;
  • Manage the stock of spare parts, consumables and their consumption;
  • Manage the renewal of administrative documents for the vehicles of the base (Technical data sheet, plates, insurance, etc.);
  • Draw up pro-formats for all technical aspects of the base's vehicles concerning maintenance and repairs at specialist service providers which could not be carried out by the mechanic of ACF.

 

Mission 2 : Manage the fleet (vehicles and generators) of the base

  • Plan the loading of the bases’ supplies with the Supply team;
  • Prepare and analyse monthly fuel consumption and cost reports for each vehicle and generator on the base;
  • Implement all the tools for the fleet management, recommended by the ACF Log Kit;
  • Participate in the identification of garages and implementation of framework agreements for maintenance;
  • Ensure the reception of fuel on the bases & regularly check quality of the fuel received;
  • Plan and control fuel release;
  • Ensure that vehicle fuel tracking sheets are completed;
  • Monitor monthly consumptions of the vehicles and alert the Logistics HoD if necessary.
  • Tracking consumption of supplies, fuel, lubricants, used in different facilities (office, house, store, etc.).

 

Mission 3: Make vehicles available

  • Plan the Base's vehicle movements;
  • Planning vehicles movements, tracking individual trips, and ensuring implementation of security measures in coordination with HAS Department
  • Inform all departments of the daily schedule and arbitrate travels;
  • Allocate appropriate vehicles as required;
  • Set up external transport solutions where applicable;
  • Draw up the monthly driver schedule, manage absences and daily drivers.

 

Mission 4 : Ensure the maintenance and follow-up of the facilities

  • Ensure that the condition of the facilities is checked at regular intervals;
  • Supervise small repairs / rehabilitations / Maintenance of the various  spaces (Office, houses and stock)
  • Report on the need for major rehabilitation;
  • Report the needs for furniture/small equipment;
  • Ensure the supply of water and energy to all facilities required for the operation of the base and the living environment;
  • Performing maintenance of logistics equipment for cold chain, energy, IT and radio communications in coordination with the relevant departments. 
  • Checking and ensuring the maintenance of ACF premises and facilities, as well as the general water supply, electrical, walls, ceilings etc. and security conditions. In this sense, making inspection visits to assess the rehabilitation needs of facilities.

 

Mission 5 : Manage the fleet team

  • Establish the work schedule;
  • Delegate activities and control their proper execution;
  • Organise training courses;
  • Setting Goals & Conduct appraisal interviews;
  • Provide a technical support to the team if necessary.
 

Job Requirements

SKILLS & EXPERIENCES REQUIRED FOR THE JOB

Education (if relevant) and experiences expected:

  • Bachelor degree in Business Administration, Economics from recognized University
  • Minimum 2 years proven experiences in the same/similar level with organizations preferably with international NGOs.

 

Technical skills:

  • Excellent knowledge and experience of modern logistics frame work
  • Excellent in networking
  • Excellent knowledge in reporting skills, updating logistic related tools
  • Ability to work well within a multi-cultural staff in multiple and remote locations

 

Transverse skills:

  • High flexibility in deployment on the selected area
  • Must be proactive and show initiatives
  • Professionalism
  • Team work

 

Managerial skills:

  • Good organization, planning and reporting skills are necessary.
  • Ability to manage staff & working environment according to local culture
