Job Purpose: The Logistics Intern will support the logistics team on Procurement related duties to provide efficient and effective administrative support to the Procurement/ Log Department, reporting to Logistic Officer  The Logistic Intern will facilitate and support the Procurement and Logistics Department in their day-to-day activities. The Logistic Intern will receive necessary training to be prepared for the tasks and with guidance from the supervisor will be responsible for, but not limited to, the following tasks

Main Duties & Responsibilities:

• Provide assistance in organizing and compiling procurement packages based on the checklist and make sure each document is in order and complete.
• Print and prepare documents for bid opening.
• Scan, copy and upload documents on SharePoint on time.
• Upload fully executed and complete procurement packages in proper folders located on the shared drive.

• Duties and Responsibilities:

• Assisting in the preparation of different payment vouchers and submit complete/accurate file to finance for payment after the final review of the supervisor.
• Ensure the financial and administrative policies and procedures of IMC are respected and followed.
• Assisting the Procurement Team with their purchasing and logistic needs and requirements along with receiving and confirming goods and services delivery receipt notes, and identifying invoicing issues prior to receipt to ensure compliance with the process at all times.
• Support logistics team to do necessary follow up with suppliers on collecting quotations for different requested goods and services from different sources.
• Enters all procurement documents are in  order following procurement checklist and helps in preparing and maintaining PO file system and keep the PR tracker updated periodically
• Support the team on updating of other trackers such as PR tracker, Compliance review document tracker, PTs , supplier database etc.
• Escorting visitors and sending Entry form to the IMC  Security Department.
• Assisting in maintaining records and filing documents
• Doing other tasks as may be assign from time to time by supervisor.

As applicable to the position, maintains a clear understanding of International Medical Corps and donor compliance and ethics standards and adheres to those standards.  Conducts work with the highest level of integrity
