Job Description

Assignment:
 

The Liaison Officer (LO) will be working and involved in liaison and reporting obligations relating to government authorities

Duties & Responsibilities:

General objectives of the position:

Objective 1: Maintaining the reporting issues related to the government entities including (MoUs, project registration and reporting)

Objective 2: Maintaining travels, visas and work permits for ACTED national and international staff

Detailed Responsibilities:

Liaison:

  • Leading and assisting on registration of projects with relevant government ministries, especially ministry of economy and meeting government requirements including reporting.
  • Preparing MoUs (Memorandum of understandings) for each individual project and following with relevant government ministries for signatory process.
  • Preparing biannual online reports using the ministry of economy’s online portal.
  • Producing and translating official documents provided to government line agencies for the purposes of project registration and reporting.
  • Circulating and collecting official documents from the field teams for the purpose of project registration, preparing MoUs and reporting.
  • Preparing or responding official letters received from government ministries or departments.

Travel:

  • Book International and Domestic Flights for ACTED staff and buy tickets, when required
  • Arrange travel of expats and local staff from departure to arrival with direct contact and link with Logistic Dept.
  • Manage the Receiving & departure of expatriates in the Air port
  • Prepare Note Verbal letters for Embassies & MoFA to issue visas for ACTED Expats & file the related documents.
  • Update and inform all Expats regarding any changes of rule and regulation of Embassies for visas.
  • Follow up of all expats’ visas and have a computerized up date of their visas information.
  • Have E-mail contact with Paris, Islamabad and all bases regarding In & Out of Expats & keeping informed Head of Administration & Human Resources in charge by putting their names in E-mail CC bar.
  • Keep all Expatriates’ and senior local staffs’ details including copy of passport and work permits.
  • Any other issue to be written if necessary
  • Any other duties, when required.
 

Job Requirements

  • Bachelor degree business administration, public Administration or related field
  • 4-5 years of experience in Liaison Officer/ Assistant
  • Experience working with international NGO
  • Good knowledge of internal liaison/logistics policies, processes and procedures generally and significant experience in their application to the logistics, supplies and services
  • Good computer skills and proficiency in standard computer applications (e.g. Word, Excel etc.)
  • Fluency in English, Dari, and Pashtu
