About Enabled Children Initiative

The Enabled Children Initiative (ECI) is an independent charity organization registered in the United Kingdom, and as a 501(c)(3) in the USA with a charity branch in Afghanistan (number 465). ECI supports children in Afghanistan with disabilities with residential, educational and income generation support for families. Through our 5 programs, we support children with disabilities who are the most vulnerable—abandoned by families living in extreme poverty who have no resources to cope, or unclaimed by family after the death of one or both parents. We also work with families with disabled children, providing educational and income generation support, in order to prevent the abandonment or institutionalization of children with disabilities. ECI improves the children’s quality of life and helps them reach their full potential.

Job Description

Role description:

The HR & Finance Assistant will work under the supervision of the HR & Finance Manager and be responsible for assisting the HR & Finance Manager in coordinating all financial and HR matters, including record-keeping, recruitment and reporting, in support of program delivery in the ECI Afghanistan Office.The HR & Assistant Assistant’s time will be split between HR tasks and finance-related tasks.

 

HR responsibilities include:

  • Assisting in each phase of the recruitment process, including drafting TORs, contracts and offer letters, preparing interview documents, vacancy announcements, screening applications, long-listing & shortlisting based on criteria.
  • Setting interviews for shortlisted candidates.
  • Document verifications of employee documents and conducting reference checks.
  • Preparing and completing personnel files for all project staff.
  • Preparing exit check list and clearance forms.
  • Preparing and updating employee’s data base for Kabul and provinces
  • Preparing ID cards for staff.
  • Employee introduction, in person and via email.
  • Sharing all related forms with employees.
  • Preparing and presenting presentation on HR policies to new employees.
  • Producing monthly Leave Tracking Sheets for all staff
  • Processing employees’ monthly attendance sheet and attendance reports
  • Any other tasks assigned by HR & Finance Manager.

 

Finance responsibilities include:

  • Assisting with day-to-day cash management and transfers, including dealing with banking activities as required.
  • Assisting with preparing and filing all types of vouchers on a daily basis and recording the transactions in the cash book and into the system.
  • Scanning invoices with all the supporting documents.
  • Comparing entries with the original vouchers at the end of each month to make sure that the expenses and vouchers are recorded correctly in cash books and in QB.
  • Keeping track of all taxes to be paid on time as per Government rule and regulation in coordination with Finance Manager.
  • Reconcile the cash balances at the end of each month and prepare the cash counts, both AFNs and USDs.
  • Any other tasks assigned by HR & Finance Manager.
 

Job Requirements

The candidate should have the following:

  • Minimum 2 and more year of experience in HR, finance management and accounting and, preferably within an international organization or NGO
  • Advanced Computer skills (Excel, Word, email/Google)
  • Proficient in Quickbooks
  • Knowledge of bookkeeping, internal controls and finance operations within international donor funded organizations
  • Excellent written and verbal communication skills
  • Self-motivated with strong organization skills
  • Ability to take initiative to prioritize and manage tasks, ability to work as a team member
  • Interpersonal skills, including ability to listen to and respect other team members’ views, work collaboratively and supportively
  • Ability to work effectively in a fast-paced environment
  • Proven ability to prioritize and plan effectively, and solve problems.
  • Familiarity with Afghan Tax Law (preferable)
  • Degree in finance or accounting (preferable)
