Job Description

  1. Work with the Fleet Manager coordinate the efficient day to day Fleet Management activities including the working mechanism of Mechanic
  2. Ensures IRC standard Vehicle policies and procedures are respected across the mission, with particular attention to safety and security issues both in official and rental vehicles.
  3. To be accountable for the fleet and generators spare parts and consumable ordering and inventory management including fuel distribution and recording.
  4. Support the Fleet Manager for daily monitoring of drivers and mechanics performance.
  5. Regular update of Fleet and Generator stock inventory for incoming and outgoing including for the proper communication and ordering of genuine spare parts and lubricants for field generators and vehicles.
  6. Work with Traffic Department and keep update the vehicle’s registration book for all vehicles and armored permits.
  7. Ensure all vehicles regular technical checks that are conducted by the Fleet Manager are properly recorded and filed in each vehicle files.
  8. Carry out regular training to all drivers on basic vehicle mechanic skills, daily vehicle inspection, drills on safety driving, defensive driving, use of VHF/UHF Radio equipment etc.
  9. Ensure all vehicles are properly cleaned on daily basis by the drivers.
  10. Prepare weekly and monthly report on transport department and share with fleet manager before submitting to SC Coordinator
  11. Signing on vehicle fuel forms for refueling and keeping accurate record and monitoring system on fuel consumption.
  12. Ensuring all vehicles have proper logbooks updated and drivers know how to track and maintain logbook including the rentals
  13. Any other duties as may be assigned by the supervisor
  14. Provide on-time, standard monthly reports to the Fleet Manager, including fuel consumption report, maintenance report and any other reports requested by Supervisor including from the field sites
  15. Well maintained fleet and good filing system for all vehicles
  16. Generate and / or maintain comprehensive price list for spare parts
  17. Maintain full and accurate inventory records for warehouses, assets and furniture
  18. Undertake (documented) monthly and ad-hoc physical inventory checks.
  19. Conduct documented quarterly job performance reviews of Transport staff, providing appropriate feedback.
 

Job Requirements

  • Education: Bachelor degree in Business Administration or Mechanical
  • Work Experience: Three years’ work experience in procurement/Logistics and Fleet capacity.
  • Competent in spoken and written English and Dari and Pashto
  • Mechanical background is a plus
  • Good mathematical skills.
  • Competent use of computer Ms. Office specially Excel
  • Experience in Using UHF/VHF radios
  • Holder of a valid driving license
  •  

Demonstrated Skills and Competencies:

  • Fluent English written and spoken. Knowledge of French and Arabic is added advantage.
  • Competent with using computers, especially Microsoft Office Word and Excel spreadsheets and Outlook.
  • Strong sense of personal integrity
  • Attention to detail and ability to multi-task
  • Team spirit and problem solving abilities
  • Excellent interpersonal and communication skills
  • Remains productive when under pressure
  • Demonstrates a systematic and efficient approach to work
