Job Description

Ensure optimal management of the country office’s Assets & Facilities in compliance with the ACF standards/procedures and safety rules.

 

Mission 1: Implement and ensure the performance of General Services

  • Supervise the buildings, rehabilitation and maintenance needed for the functioning as well as the living conditions;
  • Supervise the water, cooking gas supply for all the premises;
  • Provide support to ensure equipment security and assistance to users;
  • Supervise the necessary repair to the office space, carried out internally or by the means of external service providers;
  • Ensure that all systems are protected for the security of personnel and equipment;
  • Ensure that ACF buildings comply with the Energy standard (diagnosis and recommendations); with support of energy team
  • Responsible for event managements (meeting/ training/ workshop arrangements)
  • Direct responsible for all repair and maintenances at ACF premises
  • Responsible for collecting, processing and filing of facility bills and charges

 

Mission 2: Ensure the administrative management of Assets

  • Register and label all ACF equipment;
  • Update the monthly list of equipment & Assets;
  • Physical inventory of equipment and Assets
  • Prepare and update equipment & asset records;
  • Track movements of equipment in the files;
  • Update the equipment file with the cost of maintenance and repair.
  • Responsible for Asset Management according to ACF procedures and donor requirements

 

Mission 3: Ensure the physical management of equipment

  • Ensure that the teams use carefully and adequacy the equipment;
  • Install and verify the installation of equipment;
  • Identify problems on equipment and give advice to solve or repair them;
  • Monitor the repair of equipment;
  • Track movement of equipment between the bases (transport, storage, etc.);
  • Verify and classify valid equipment and those that are defective, and make recommendations for disposing of it in an eco-responsible manner or repairing it;
  • Follow up on the procedures for using the equipment;
  • Follow the maintenance of equipment and assets are comply with ACF procedures;
  • Keep track of all equipment in the mission and compile the equipment report of the bases
  • Implement asset recording (Asset Register Book) in the mission.
  • Managing Asset Master list for the Mission & updating the master list accordingly 

 

Mission 4: Ensure the financial management and audit of equipment

  • Collaborate closely with the administrator of the country office in order to align information in the financial and logistical files;
  • Obtain from the administration the financial reference of the equipment which will help to synchronize the information between the administrative and logistical tools;
  • Prepare equipment reports for donors;
  • Participate in donor audits regarding equipment.

 

Mission 5: Plan the renewal of the equipment

  • Define, in collaboration with the line manager & Logistics HoD, the equipment needs of the country office and participate in project cycle management by providing the information necessary for the realization of the supply plan;
  • Propose to the Logistics Manager a renewal plan for the country office's equipment.

 

Mission 6: Inventory of office/Guesthouse and warehouse.

  • Responsible for the inventory management of assists
  • Responsible for the physical inventory of office/ guesthouse etc.
  • Conduct theatrical inventory every months and physical inventory every three months
  • Update the inventory list
  • Keep track the assets movement and updating the inventory list accordingly
  • Ensure the inventory list is available and records are updated accordingly

Job Requirements

Education (if relevant) and experiences expected:

  • Bachelor degree in Business Administration, Economics from recognized University
  • Minimum 2 years proven experiences in the same/similar level with organizations preferably with international NGOs.

 

Technical skills:

  • Excellent knowledge and experience of modern logistics frame work
  • Excellent in networking
  • Excellent knowledge in reporting skills, updating logistic related tools
  • Ability to work well within a multi-cultural staff in multiple and remote locations

Transverse skills:

  • High flexibility in deployment on the selected area
  • Must be proactive and show initiatives
  • Professionalism
  • Team work

 

Managerial skills:

  • Good organization, planning and reporting skills are necessary.
  • Ability to manage staff & working environment according to local culture
