Job Description

MAIN PURPOSE OF the JOB:

The objective of the Facility Assistant position will be to ensure that all MSH facilities including the ex-pat housing, guesthouses, and office are well maintained to the appropriate standards. He/She will serve as maintenance personnel and inventory assistant for the project. 

General Responsibilities. 

  • Oversee expat housing, guesthouse, and office facilities.
  • Take all staff complaints, both on emails and SharePoint, regarding repairs and maintenance needs.
  • Follow up with the Senior Facilities Supervisor on any structural damage on the building and facilities for onward transmission to the Landlord.
  • Report and take responsibility for any problem with the air conditioners and ensure the AC is repaired.
  • Ensure the servicing of the office generator is attended to and any needed repairs or routine maintenance are completed promptly.
  • Prepare internal request forms and make sure supplies are always available at the hand wash basin and the restroom conveniences.
  • Walk around the premises and check on the daily routine of the cleaners, laborers, gardeners, and other facilities-related issues.
  • Supervise any job done by repair technicians to ascertain its completeness.
  • Supervise any other work that will take place after working hours and at weekend.
  • Ensure all the repairs and maintenance details are updated on Freshdesk.
  • Quality check guesthouse-related activities to maintain high quality standards.
  • Check that rooms are clean and prepared for visitors, and cleaning supplies stocked, linen is freshly washed, internet and printers’ services are functioning properly, and ensure that the bunker is secured with emergency items including medical supplies, communication devices, food and water.
  • Monitor fuel for generator, fuel for furnace and cooking gas as part of inventory management so that there is always adequate supply and extra in case of emergency.
  • Supervising and managing supportive staff (Housekeepers and kitchen staff)
  • Manage the booking of meeting rooms inside the office as per tracker on SharePoint.

Inventory

  • Verify all documents and posts for Service Completion.
  • Verify all movements of equipment and timely reporting to the inventory team
  • Verify all documents for Delivery Acknowledgement.

Other Duties

  • Write all correspondences on the above issues.
  • Other tasks that may be assigned by the Supervisor.

Job Requirements

REQUIRED MINIMUM EDUCATION:

Bachelor’s Degree in Business Administration, economics, or other relevant fields.

REQUIRED MINIMUM EXPERIENCE:                  

  • Minimum of 4 years experience in inventory & office management experience.
  • Experience managing USAID-funded activities and thorough knowledge of applicable regulations and requirements, preferred.

KNOWLEDGE and SKILLS:                             

  • Skills in Excel Spreadsheets, QuickBooks, or similar accounting software, as well as Word. Comfortable in a Windows PC environment. 
  • Written and verbal proficiency in English
  • Strong team working orientation with a flexible and adaptable approach to work demands across the whole organization
  • Commitment to accuracy and attention to detail
