Job Description

The CRLP Data Entry Officeris responsible for entering the CRLP project related data for eligible beneficiary of (CFW Cash for Work, Skilled and Non-Skilled Labors) into MIS database system as per CRLP component. Also the Data Entry Officer is responsible for Finance & Admin related issues of the relevant district office.

He/she will also assist the District Managerin regard of data collection and sorting and cross check with data which received from field by Social Organizer (SOs) before entering to MIS system.

Specific Tasks and Responsibilities:

Data Entry:

  • Ensure that all CRLP/Data is entered into MIS database system.
  • Timely reviewing of the data to ensure quality and accuracy, this includes errors, missing information and required follow-up etc.
  • Managing of the filing system hard copy and soft copy.
  • Cross checking of recorded data and update direct supervisor regarding the data entry progress and accuracy of the data entered and recorded.
  • Conduct regular and routine data quality checks to ensure data are accurately recorded as required by the CRLP project.
  • Ensure all CRLP intervention data is verified after the complete and correct entry of the data.
  • Providing weekly updates on the data entry and data verification progress.
  • Update the District Manager about the on time functionality and non-functionality of the database.
  • When required inform the Package Manager about the data entry process in the MIS database.
  • Inform the District Manager to contact with the local authorities and community members for there-confirmation, when there is any problem in the number of beneficiaries’ during the survey and data collection process.
  • Make sure the data is not entered repeatedly and not left from the list which provided by the Social Organizer (SOs).
  • Data Extraction using queries and generation of required report.
  • Take care of the database and make sure it is second copy is saved somewhere else to make sure not lose the data.
  • The hard and soft copy of the data should be recorded properly.

Administration:

  • The Data Entry Officer should assist the relevant District Manager in updating of the staff list, vehicle and daily follow up of the staff attendance sheet.
  • The Data Entry Officer should ensure regular update the stock, inventory records, and perform the physical verification of the DACAAR assets available in the relevant district office.
  • To prepare the pouch list and check all the documents to be sent or received via pouch are correct and complete.
  • The Data Entry Officer should assist the relevant District Manager in preparing the relevant administration documents required by the Regional Office, Program Admin Team in MO, and HR & Admin Departments.
  • The Data Entry Officer should assist the relevant District Manager in completing the recruitment documents according to the checklist.
  • The Data Entry Officer should assist the relevant District Manager in preparing the SDN form and exit procedure documents of the resigned or terminated staff. 

Finance:

  • The Data Entry Officer should ensure timely collection of the invoices and preparation of the vouchers for the relevant District Office.
  • The Data Entry Officer should assist the relevant District Manager in preparing the required documents for monthly expenditures and forwarding to the CRLP Finance Specialist for further processing.
  • When requires the Data Entry Officer should assist the relevant District Manager in procuring the required items according to the approved PRF and procurement manual.

Other:

  • The holder of this position must strictly follows the organization existing security policies, procedures and daily instructions of the safety personnel.

Any other task assigned by the supervisor. 

Job Requirements

Education/ Qualification and Employment Benefits                                                

Education: Bachelor degree in computer science is required but (Master degree is preferred).

Experience: At least 3 years of relevant experience in data entry/database and data management is required.

Other qualifications’ an advantage:

Ability in team working, Management skills, ability of proper planning, Organizing, processing data, Basic understanding of databases and data entry, Working knowledge of office equipment, Worked as Admin/Finance in NGOs in field level. Good communication and interpersonal skill

Languages: Pashto, Dari and English Languages are required.
