Job Description

Your role

The Centre Administrative Support Officer will work under the supervision of the Centre Coordinator to whom he/she will report. The Centre Administrative Support Officer will be responsible for providing required administrative support to the centre and its staff. 

 

The Duties and responsibilities may include but not limited to:

  • Ensuring new equipment, furniture and other assets procured and as well as property are stocked and properly handled at the Multi-Purpose Transit Centre.
  • Work closely with Admin & Log Team Department for assets management of the Multi-Purpose Transit Centre.
  • Work Closely with Admin and Logistics Department for physically verifying of assets and property as per policies.
  • Responsible to ensure proper documentation of Multi-Purpose Transit Centre.
  • Handle general o Multi-Purpose Transit Centre administrative duties, such as keep record and maintain replenishment of office supplies, and stationeries items for all project staff and Multi-Purpose Transit Centre.
  • Handle the Multi-Purpose Transit Centre Kitchen, and restrooms supplies and keep track of the issued items and share relevant monthly reports with supervisor for better control.
  • Organizing the Multi-Purpose Transit Centre meeting schedules and maintaining the booking system.
  • Handling cleaner and cook in Multi-Purpose Transit Centre as per applicable policies and in close coordination with supervisor.
  • Maintain IT related tasks of Multi-Purpose Transit Centre by working closely with WCUK’s main IT Officer.
  • Other Office related task assign by supervisor.

 

Compliance:

  • To ensure WCUK and donors set forth policies and procedures when carrying out all Admin related activities on daily basis.
  • To ensure and understand, and implement WCUK Admin, property policies, procedures and comply the processes.
  • To ensure all relevant document are present in related project files and share when required for reports.
  • Contribute to creating a culture committed to the safeguarding of children and adults and compliant to WCUK’s Child Safeguarding and Adults at Risk Policies.
  • Contribute to creating a culture committed to the safeguarding of children and adults and compliant to War Child’s Child Safeguarding and Adults at Risk Policies.

Job Requirements

You are:

  • University Degree in social science 
  • Experience of working with children and adults who have witnessed or experienced exploitation and abuse and working to prevent sexual exploitation and abuse
  • At least 4 years’ experience working in the humanitarian sector, or similar sector
  • Strong facilitation and presentation skills
  • Excellent written and spoken English
  • Strong IT skills, communication skills, especially active listening
  • Ability to work collaboratively with a wide range of stakeholders, including at senior leadership level, and influence using a variety of different styles, taking into account cultural differences
  • Commitment to upholding and modelling War Child’s values, demonstrating integrity, diplomacy, professionalism, reliability and resilience at all times.
  • High degree of organisational ability, working well under pressure and to deadlines.
  • Strong and clear communicator and public speaker, capable of delivering messages appropriately to a variety of audiences, building a sense of passion and engagement
  • Excellent self-awareness and understanding of the need for self-care
