ACDEO provides women and children the opportunities for mental health and psychosocial counselling, and education enabling them to help themselves and their families. ACDEO has primarily focused on supporting Afghan women and their families in different areas such as Family Support Helpline, Education Promotion and Sustainability Promotion.

Job Description

Position Overview:

The Admin and Finance Officer will manage administrative and financial operations to ensure the efficient and effective management of project resources. The role will encompass financial planning, budgeting, accounting, reporting, and administrative duties, ensuring compliance with organizational policies and donor requirements.

Duties and Responsibilities:

  1. Maintain office efficiency by organizing and managing project operations and procedures.
  2. Manage office supplies inventory, including ordering and replenishing supplies as needed.
  3. Ensure the cleanliness and tidiness of the office space, including common areas and meeting rooms.
  4. Coordinate meetings and appointments, including booking venues, sending invitations, and preparing meeting materials.
  5. Maintain electronic and paper filing systems, ensuring the accuracy and accessibility of documents and records.
  6. Draft, edit, and proofread correspondence, reports, and other documents as assigned.
  7. Assist in the planning and coordination of events, workshops, and trainings, including logistics, participant registration, and material preparation.
  8. Prepare and monitor budgets, ensuring alignment with project objectives and donor requirements.
  9. Support the team in distribution process, documentation
  10. Maintain accurate financial records and ensure timely data entry into accounting systems.
  11. Process payments, manage payroll, and ensure compliance with financial policies and procedures.
  12. Perform regular reconciliations of bank accounts, cash, and other financial accounts.
  13. Ensure all financial transactions are accurately recorded and categorized.
  14. Manage accounts payable and receivable, ensuring timely payments and collections.
  15. Advise project managers on budget status and financial performance.
  16. Support internal and external audits, providing necessary documentation and explanations.
  17. Implement audit recommendations and improve financial controls.
  18. Oversee office administration, including procurement, inventory management, and maintenance.
  19. Manage contracts and agreements with vendors, service providers, and consultants.
  20. Coordinate logistics for meetings, workshops, and other events
 

Job Requirements

Required Experience and Education

  1. Education:
    1. Bachelor’s degree in Finance, Accounting, Business Administration, or a related field.
  2. Experience:
    1. Minimum 3 years of experience in finance and administration
    2. Proven experience in budgeting, financial management, and reporting.
    3. Experience with accounting software and financial management systems.
  3. Skills:
    1. Strong financial and analytical skills.
    2. Proficiency in accounting software (e.g., QuickBooks, SAP, or similar).
    3. Excellent organizational and time management skills.
    4. Strong communication and interpersonal skills.
    5. Attention to detail and high level of accuracy.
